2. Scope of this policy
This policy explains how we collect and use personal information through our website www.shawnhopebrokers.com, our online forms, live chat, WhatsApp, email newsletter and our social media pages.
It applies to website visitors, people who ask for a quote or information, newsletter subscribers and anyone who contacts us online. When you become a client, we will also explain how we handle your information while arranging and servicing your insurance.
We handle personal information in line with the Barbados Data Protection Act, 2019 and the other laws that apply to insurance brokers in Barbados.
3. Information we collect
We collect only the information we need to answer your enquiry, prepare a quote and stay in touch if you ask us to.
| Where it comes from | What we collect |
| Contact form | Name, email address, phone number (optional), subject and your message, plus the page you sent it from and whether you ticked the marketing box (with the wording you agreed to) |
| Quote request form | The type of cover, your name, email address, phone number, date of birth, address, the level of cover you want, your budget, when you’d like cover to start and any notes you add, plus the page you sent it from and whether you ticked the marketing box (with the wording you agreed to) |
| When we prepare your quote | Whatever else an insurer needs to price cover, for example: occupation; vehicle make, model, year and use; property type, location and value; business name, activity, turnover and number of staff; current insurer and claims history; for health or life cover, basic health and lifestyle questions |
| Live chat | Your name, contact details and the conversation, plus the page you were on and technical details about your device |
| Your phone number, WhatsApp profile name and the messages and files you send us | |
| Newsletter sign-up | Name, email address, your interests (for example motor, home or business cover) and whether you open or click our emails |
| Automatically, when you use the site | If you allow analytics or advertising cookies: IP address, approximate location (country/city), browser and device type, pages viewed and how you arrived (for example from a Facebook ad or Google search). To stop spam, our forms also briefly use a scrambled form of your IP address (for up to an hour); it is not stored with your enquiry |
| Social media | If you message or interact with our Facebook or Instagram pages, your public profile name and messages |
Please do not send identity documents, bank or card details, or medical reports through our website forms or chat. If we need them to place cover, we will ask you to provide them through a secure channel.
If you give us information about another person (for example a named driver, family member or employee), please make sure they know you are sharing it with us and have seen this policy.
4. How and why we use your information
We use your information only for the purposes below, and only where the law gives us a lawful ground to do so.
| Purpose | Lawful ground |
| Answer your enquiry and reply to chat or WhatsApp messages | Steps you asked for before entering a contract; our legitimate interest in responding to you |
| Prepare quotes and approach insurers on your behalf | Steps you asked for before entering a contract |
| Arrange and service your policy if you become a client | Performance of a contract |
| Carry out identity, anti-money-laundering and sanctions checks | Legal obligation |
| Keep records required by our regulator | Legal obligation |
| Send our newsletter, renewal reminders and offers | Your consent (you can withdraw it at any time) |
| Measure and improve the website and our advertising | Your consent to analytics and advertising cookies |
| Protect the website, prevent fraud and handle complaints or legal claims | Our legitimate interests; legal obligation |
We do not sell your personal information. We do not use automated decision-making that has a legal or similarly significant effect on you. Insurers may use their own automated tools to price or accept risks; they will explain this in their own privacy notices.
5. Sensitive information
Some insurance quotes need sensitive personal data, as defined in the Data Protection Act, 2019. Examples are health information for life or health cover, criminal convictions or motoring offences for motor cover, and your financial position for business or credit-related cover.
We collect sensitive information only when an insurer needs it to quote or place cover. We use it only for that purpose, rely on your explicit consent or another ground the Act allows, and limit access to the staff handling your request. You can choose not to provide it, but we may then be unable to obtain a quote for you.
6. Who we share your information with
We share your information only where needed for the purposes in section 4.
- Insurers and reinsurers we approach for quotes or place your cover with, and their loss adjusters and claims handlers
- Premium finance providers, if you ask us to arrange premium financing
- Our technology providers, who process information for us under contract, including Zoho Corporation (CRM, email, forms, chat and website tools), Etech (our insurance policy management system, EpicASSURE), Google (analytics), Meta (Facebook, Instagram and WhatsApp), Microsoft (email), Brevo (delivers the emails sent from our website forms) and our website host, GoDaddy
- Professional advisers, such as our attorneys, auditors and accountants
- Regulators and authorities, including the Financial Services Commission, the Data Protection Commissioner, the Financial Intelligence Unit and law enforcement, where the law requires it
- A buyer or successor, if SHIB’s business is sold or merged, under a duty to protect your information
Our service providers may use your information only to provide services to us and must keep it secure. Meta and Google also act as independent controllers for some data collected by their tags; see section 7.
7. Cookies and tracking
Cookies are small files stored on your device. We use essential cookies to run the site, and, only if you accept them, analytics, advertising and live chat cookies. You can accept or refuse each type separately, and change your choice at any time through the “Cookie settings” link in the website footer.
| Tool | Type | What it does | Provider |
| Website cookies | Essential | Keep the site working and remember your cookie choice | SHIB |
| Zoho SalesIQ | Live chat | Runs live chat; may record pages visited during a chat | Zoho Corporation |
| Zoho PageSense | Analytics | Shows which pages and forms lead to enquiries | Zoho Corporation |
| Google Analytics | Analytics | Counts visits and shows how people use the site | Google LLC |
| Meta Pixel | Advertising | Measures our Facebook and Instagram ads and shows our ads to people who visited the site | Meta Platforms |
Nothing in the Analytics, Advertising or Live chat rows runs until you allow that type in the cookie box.
You can also block or delete cookies in your browser settings, opt out of Google Analytics with the Google Analytics opt-out add-on, and manage ad preferences in your Facebook and Instagram settings. Blocking essential cookies may stop parts of the site from working.
8. International transfers
Some of our service providers store or process information outside Barbados. For example, Zoho may host our data in the United States, Etech operates from Jamaica, and Google and Meta process data in the United States and other countries. Our website host and the service that delivers our website’s emails may store information in the United States and the European Union. Insurers and reinsurers we place cover with may also be based overseas.
We transfer personal information outside Barbados only where the Data Protection Act, 2019 allows it: to a country with adequate protection, under appropriate safeguards such as contract terms requiring the recipient to protect your data, or where an exemption applies, such as a transfer needed to arrange the insurance you asked for. You can ask us for details of the safeguards we use.
9. Marketing and your choices
We send newsletters and offers only if you sign up or tick the marketing box on a form. We never pre-tick that box, and asking for a quote does not sign you up.
You can stop marketing at any time by clicking “unsubscribe” in any email, replying STOP on WhatsApp, or contacting us at legal@shawnhopebrokers.com. We will still send messages about your quote or policy, such as renewal notices, because these are part of our service, not marketing.
10. How long we keep your information
We keep information only as long as we need it for the purpose it was collected, or as long as the law requires.
| Information | How long we keep it |
| Enquiries and quotes that do not lead to a policy | 2 years from our last contact |
| Client and policy records, including identity checks | 7 years after the policy or relationship ends, to meet insurance and anti-money-laundering record-keeping rules |
| Claims records | 7 years after the claim is closed, or longer if a dispute is ongoing |
| Chat and WhatsApp conversations | 2 years, unless they form part of a client or claims record |
| Newsletter subscribers | Until you unsubscribe, then a suppression record so we do not email you again |
| Analytics and advertising data | Up to 14 months, or as set by the provider |
When information is no longer needed, we delete it or make it anonymous.
11. How we protect your information
We use technical and organisational measures to protect your information, including encrypted (HTTPS) connections on our website, access controls and two-factor sign-in on our business systems, regular backups kept in secure off-site storage, staff confidentiality obligations and training, and contracts that require our service providers to keep data secure.
No website or system is completely secure. If a personal data breach is likely to put your rights at risk, we will notify the Data Protection Commissioner without undue delay, and where feasible within 72 hours. If the risk to you is high, we will also tell you directly.
12. Your rights
Under the Data Protection Act, 2019 you have the right to:
- Be informed about how we use your information (this policy)
- Access the personal information we hold about you and get a copy
- Correct information that is inaccurate or incomplete
- Erase information we no longer have a valid reason to keep
- Restrict or object to our use of your information, including at any time for direct marketing
- Data portability: receive information you gave us in a common electronic format, or have it sent to another organisation
- Withdraw consent where we rely on it, without affecting earlier use
- Not be subject to decisions based solely on automated processing that significantly affect you
To use any of these rights, contact us at legal@shawnhopebrokers.com. We may ask you to confirm your identity first. We will respond within the time the Act requires and will not charge a fee unless a request is clearly excessive. Some rights are limited where we must keep records by law, for example for anti-money-laundering purposes.
13. Visitors outside Barbados
Our services are designed for clients in Barbados and the wider Caribbean. If you visit from another country, local privacy laws may give you extra rights.
- UK and European Union: you have rights under the UK GDPR or EU GDPR similar to those in section 12. We ask for your consent before setting analytics, advertising or live chat cookies. You can complain to your local data protection authority, for example the UK Information Commissioner’s Office.
- Other countries: where your local law gives you additional rights, contact us and we will respond in line with that law where it applies to us.
As we grow into new markets, we will update this policy to reflect the laws that apply there.
14. Children, other websites, changes and complaints
Children. Our website is not intended for people under 18. We do not knowingly collect their information online. Where cover involves a child (for example a dependant on a health plan), we collect their details from a parent or guardian.
Other websites. Our site links to insurers, social media and other websites. We are not responsible for their privacy practices; please read their own policies.
Changes to this policy. We may update this policy from time to time. The “Last updated” date at the top shows the latest version. If we make significant changes, we will show a notice on the website or tell you directly.
Complaints. If you are unhappy with how we have handled your information, please contact us first at legal@shawnhopebrokers.com so we can put it right. You also have the right to complain to the Data Protection Commissioner of Barbados (www.gov.bb/General/data-protection-commissioner).
